The Pitfalls of Doing It All

Advisory

When I started my business, I was a one-person operation. I did everything from emails to social media posts, bookkeeping, and client calls. Many of us make the mistake of thinking we save money by doing it all ourselves, but in reality, it left me with no time for strategy or planning. I realised the hard way that I was too caught up in the daily grind, which caused me to miss out on big opportunities. When I lost a major client because I was slow to respond, it was a wake-up call.

A study in the US found that 80% of small business owners spend over 20 hours a week on non-revenue-generating tasks like admin work. The cost isn’t just measured in hours, it’s about missed opportunities and burnout.

Why Delegation Matters

Delegation isn’t just about offloading tasks; it’s about prioritising profit. Delegating protects your time, and thus, your profits. Imagine hiring a virtual assistant at $15 an hour for 10 hours a week. The time you gain can be used for networking, client follow-ups, and new business strategies. If you land a $1,500 client with that extra time, you’ve just made a 10x return on your investment.

In my own business, revenue jumped by 30% after I began delegating. More importantly, I got my life back, more free evenings and weekends, less stress, and more energy for growth.

A Three-Step Plan for Effective Delegation

  1. Identify Delegatable Tasks: Perform a time audit. Write down everything you do in a week and highlight tasks that don’t require your unique expertise. For me, managing my inbox and social media posts were the first tasks to delegate.
  2. Choose the Right Person: For simple tasks, consider freelancers from platforms like Upwork or Fiverr. For more complex roles, a part-time virtual assistant with industry experience might be ideal. Always check references and start with a small test project.
  3. Set Clear Expectations: Use tools like Trello or Asana to outline tasks and deadlines. Think of it as a roadmap. Use templates for responses and decision trees for when to escalate issues. Regular check-ins are crucial to maintain clarity and minimise errors.

Overcoming Delegation Fears

Concerns about cost and mistakes are genuine but surmountable. Start small by hiring someone for just a few hours a week. Track the results to understand the return on investment. Mistakes happen, but most are fixable with proper instructions and periodic check-ins.

Delegation transformed my business from chaotic to streamlined. It’s about efficiency and avoiding the trap of doing it all, which stifles growth and drains energy. Delegating lets you reclaim your time for what matters, growing your business.

Takeaway for This Week

Identify one non-core task you handle yourself, like scheduling or marketing, and delegate it. Post a job on Upwork or request referrals. Look for someone who can start with a few hours a week. Track the time you gain and use it for revenue-generating activities. Write down how it feels to have that time back. It’s a game-changer for both your business and personal life.

By starting to delegate today, you’re taking the first step towards a more profitable and less stressful business journey. Feel focused and ready to grow both personally and professionally.
